Invoices & Returns (Warranties)
Every sale made through the POS automatically generates a detailed invoice here. You can also manually create and manage them, as well as handle refunds, warranties, and multi-stage payments.
How to Manage Existing Invoices & Warranties
View Modes
Finding invoices is easy. Click the toggle at the top of the Invoices screen to switch between:
- Table View — Dense, analytical grid for quick scanning
- Card View — Visual cards to browse your records effectively
Status Tracking
Invoices dynamically track their status:
- Paid — Fully settled
- Unpaid — No payment recorded
- Partial — Some payment made, balance remains
Flag for Follow-Up & Internal Notes
- Need to chase a payment or resolve an issue? Check the "Flag for Follow-up" box inside an invoice to visually highlight it on the grid
- Both Customers and Invoices feature an "Internal Notes" section where your staff can leave private comments that will never appear on the printed receipt
Applying Late Payments
If an invoice is Unpaid from the POS, you can:
- Open the invoice
- Click "Add Payment" to record incoming money at a later date
- The invoice status updates instantly based on the remaining balance
Returns & Warranties
If a customer brings an item back, you can initiate a Return from the invoice screen. You will be prompted to choose either a Refund or a Warranty replacement.
Refunds
- Return the money to the customer
- Update the invoice ledger
- Customer walks away whole
Warranty Replacements
- Explicitly deduct a replacement item from your inventory
- Generate a zero-cost line item labeled as "(Warranty Replacement)"
- Ensure your physical stock perfectly matches your digital system without artificially inflating revenue
Shipping & Fulfillment Integration
Need to mail the purchase to the customer?
From the Invoice detail screen, you can:
- Generate custom Shipping Labels (configured from your Settings)
- Add internal Shipping Tracking Links/IDs directly to the invoice
- Download the label as a high-res image or PDF for your thermal printer
